Privacy notice
How we use the information you give us through this website. Last updated 10 October 2026.
Who we are
Eagles Netball Club (“Eagles”, “we”) is a community netball club in North West London. We are responsible for the information you give us through this website. You can contact us about anything in this notice at info@eaglesnetballclub.com.
This notice covers this website only. When you join the club, we’ll tell you how we use membership information.
What we collect through this website
We only collect what you choose to send us through our forms:
- Joining and contact enquiries: your name, email address, phone number (optional), your relationship to any child you’re enquiring for, and your message. For each player, their name, school year, netball experience, the days they could train, what they’d like from netball, and any practical support needs or notes you choose to add.
- John Lyon taster requests: your name, email address, phone number (optional), each player’s name, school year and netball experience, and any notes.
- Half-term camp email list: your name, email address, phone number (optional), each child’s name and school year, whether they already play for Eagles, and any notes.
Please don’t send us detailed medical information through the website. If there is something we should know, we’ll discuss it with you privately.
Children’s information
Information about children should be sent by a parent or carer, or an adult authorised by them, and our forms ask you to confirm this. We use children’s details only to respond to your enquiry or request and to suggest suitable sessions.
How we use it, and why we’re allowed to
- To reply to your enquiry, suggest a session, arrange an assessment or taster, or offer a place or a waiting-list place. We do this because it is in our legitimate interests (and yours) to respond to people who contact us.
- To email you about the half-term camp, if you join the camp email list. We do this with your consent, which you can withdraw at any time by emailing us or using the unsubscribe link in our emails.
We don’t sell your information, use it for advertising, or share it with other organisations except as described below.
Who else handles it
We use a small number of service providers who handle information on our behalf and under our instructions:
- Cloudflare, which hosts this website and the secure database where form submissions are kept. Like any website host, it also processes technical information such as your IP address to deliver pages and protect the site from abuse.
- Resend, which sends our emails: a short notification to the club’s inbox when you submit a form, and our replies and camp updates. Resend may process data outside the UK, protected by the safeguards required by UK data protection law.
- Our club email provider, where those notifications and any emails between us are kept.
Inside the club, your submission is kept in a secure club portal that only named club admins and coaches can sign in to. Coaches only see enquiries for the sessions they run or that are assigned to them.
Once you become a member, we may add you to the right group on Spond, the app we use to organise sessions. Spond has its own privacy notice.
How long we keep it
- Enquiries and taster requests that don’t lead to joining: deleted within 12 months.
- If you join: your enquiry becomes part of your membership record and is kept under the club’s membership arrangements.
- Camp email list: kept until the end of the camp it relates to, then deleted within 3 months, unless you ask to stay on a future list.
- Records in our club portal are deleted automatically when these periods end.
Cookies, analytics and our helper, Goldie
- This website does not use advertising or analytics cookies, and does not track you across other websites.
- Cloudflare may set strictly necessary security cookies to protect the site from attacks.
- Goldie, our guided helper, runs entirely in your browser. What you type to Goldie is not sent to us or stored. If you choose to carry your answers (or a question for the club) into one of our forms, they are held in your browser’s session storage until the form uses them or you close the tab.
- Our Instagram section shows recent posts through a feed service (Behold). The images load from that service, which will see your IP address, as with any image on the web. No Instagram or Meta tracking scripts are used.
- To prevent spam, our server briefly keeps a record of how many times a network address has submitted a form. This is held in memory and not stored.
Your rights
You can ask to see the information we hold about you, ask us to correct or delete it, ask us to restrict or stop using it, or withdraw your consent to camp emails. Email us at info@eaglesnetballclub.com and we’ll respond within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
Changes to this notice
We will update this notice if the way we use information changes. The date at the top shows when it was last updated.
